Central Coast Poets Incorporated (CCPI):
Henry Kendall Poetry Award (HKPA) – 2017
General
When you enter the HKPA you agree to be bound by these Terms and Conditions.
CCPI Committee (“the Committee”) is elected by CCPI members and are charged with conducting the HKPA.
The Committee reserves the right to cancel or amend the competition without notice.
If the HKPA has been canceled after entries have been received, any changes to the competition will be notified to the entrants as soon as possible by the Committee.
Who can enter
Only citizens or permanent residents of Australia may enter.
All entrants must be 18 years of age or over when they enter the HKPA.
Entries must not be submitted on behalf of someone else.
The following persons are not eligible to enter the competition or assist any eligible person to enter – HKPA judges; members of the Committee or HKPA subcommittee, or immediate family members of those people.
How to enter
All entries must be submitted online through the HKPA portal on the CCPI website http://centralcoastpoets.com.au/
No other form of entry is permitted.
The uploaded file containing a poem entered for the prize MUST NOT include the author’s name anywhere in the text of the entry or anywhere else in the document, such as in headers, footers or in any other place. The document of any entry that includes the author’s name will be disqualified.
No responsibility will be accepted for entries that are not received in accordance with these conditions.
Confirmation of receipt of all HKPA entries will be sent by email only to those who provide a valid email address. No other correspondence about the receipt of entries will be entered.
Entry rules and provisions
Entries will be received between 20th January 2017 and 28th February 2017
Entries must be submitted as either an MS Word file (.doc or .docx), Rich Text Format (.rtf) or as a PDF (.pdf). Other computer file formats will not be accepted.
Entries that are uploaded to the HKPA must be in a clear, legible font
Poems should be set out and spaced so that they are easy to read. If the judges determine that an entry does not meet these requirements, that entry will not be considered further.
All poems entered for the HKPA must be single poems with a maximum length of 30 lines (not including the poem’s title or blank lines) and be no more than 500 words.
Entries must be written predominantly in English. Some non-English words/phrases are acceptable in the context of the poem.
Entries must be the original work/s of the individual author.
Entries must be unpublished works that have not been previously broadcast publicly, in whole or part (either in print, online or in any other format, including radio broadcast, personal blogs, you-tube or social media).
Entries must not be created (i.e. authored) by a computer program.
Entrants must retain copies of the poems that are entered. Once entered, the text of a poem cannot be retrieved or altered.
Entrants warrant that: (i) they have personally authored their entry and own all rights to it; (ii) all related intellectual property belongs to the entrant; and (iii) the entry does not violate any laws of any country or infringe upon another party’s trademark or copyright. Entrants indemnify the HKPA and the Committee against any loss/damage resulting from a breach of this warranty.
Simultaneous submissions will not be permitted i.e. submissions to other competitions, prizes and/or publications. A poem will be ineligible if it is under contract to any publisher or broadcaster.
No changes to the entry will be permitted once an entry has been submitted.
Poems not selected for the major prizes or shortlist, or selected for publication in the CCPI Anthology in one year, may be submitted again in a subsequent year if the poem meets all the HKPA terms and conditions in the year that it is submitted.
All authors must provide their own name for record keeping purposes. If you wish to have your poem published under a pseudonym, this may be included as part of your details on the entry form.
Every HKPA entrant is fully responsible for the consequences that arise from providing false or misleading information. Any poem that is submitted under a false name, or is accompanied by false information, will be automatically disqualified from the HKPA.
Entrants accept that their poem/s may be submitted to an electronic plagiarism detector. If any part of an entered poem is found to be plagiarised, the poem and any other poem entered by that author will be removed from the HKPA.
Prizes and Entry Fees
1st Prize will receive $1000
2nd Prize will receive $500
3rd Prize will receive $250
The prize pool may be increased if the number of entries exceeds that required as determined by the Committee.
Entry fee of AUD $15 for each poem entered.
On-line payment via PayPal only. No other payment method will be accepted.
There is no limit on the number of entries poets may submit for the HKPA.
Open, close and judging process
Entries can be submitted from 09:00 AEDT, 20th January 2017 until 23:59 AEDT, 28th February 2017.
Prize-winners will be notified prior to the Prize announcement. The HKPA Prize announcement will be made on 1st July 2017.
Any poem that is determined by the judges to be plagiarised will be disqualified from the HKPA and the author of that poem will be permanently disqualified from entering any future HKPA.
Entry fees will not generally be refunded without the permission of the Committee.
Unsuccessful entrants will not be contacted and poems will not be returned.
Once the deadline for entries has passed, the poems will be vetted for compliance with the ‘terms and conditions’ and selected for the ‘HKPA longlist of poems.
The HKPA longlist will be given to an independent external judge chosen by the committee and not associated with the CCPI.
If the number of valid entries exceeds that minimum number determined by the Committee, a second ‘standby judge’ will be selected to assist the external judge.
The authors’ names will not be provided to the judge/s.
The external judge will select a ‘short-list’ of 50 poems from the longlist.
The external judge will select the three (3) prize winners and up to seven (7) poems for commendation from the short-list.
The CCPI will publish the 50 short-listed poems in its 2017 Anthology and corresponding e-Anthology. All shortlisted authors will receive the hard-copy. All entrants will have access to the e-anthology.
The Committee’s decision in respect of all matters to do with the competition will be final and no correspondence will be entered.
No editorial comments will be provided. No correspondence will be entered about the submission or selection processes, or any other aspect of the HKPA, or its administration, except for correspondence initiated by the Committee.
Copyright, privacy, and liability
Copyright in the poem(s) remains with the authors.
By submitting an entry, entrants grant a license to the Committee to (i) permit it to publish the entry in the CCPI 2017 Anthology (in both electronic form and hard copy); and (ii) permit it to record and broadcast the public readings of any published entries, or excerpts of entries, online and in any other media, for a period of two years from the date that the poem was submitted to the HKPA without fee or royalty.
A poem must be available to be published in the CCPI Anthology to be eligible to win a prize or to be shortlisted. Refusal by an entrant to accept the HKPA or to allow publication in the CCPI Anthology will disqualify the entry from eligibility.
By entering the HKPA, you guarantee that the personal information you provide in; entering the HKPA and in any subsequent dealings with the HKPA or the Committee, is accurate. Personal information will only be used in administering the HKPA. When you provide this information, you consent to it being used for this purpose. Entrants can view the CCP’s Privacy Policy here
Except for any liability that cannot by law be excluded, the Committee (including any member of the CCPI) is not responsible for and exclude all liability (including negligence) for any personal injury; or any loss or damage (including loss of opportunity); whether direct, indirect, special or consequential, arising in any way out of: (a) any technical difficulties or equipment malfunction (whether or not under the Committee’s control); (b) any theft, unauthorised access or third party interference; (c) any entry that is late, lost, altered, damaged or misdirected (whether or not after their receipt by the Committee) due to any reason beyond the reasonable control of the Committee; and (d) any variation in prize value to that stated in these Terms and Conditions.
